This page explains what happens to the information you type into this website and what we do with the details you send us when arranging a journey.
In short
How your information is handled
Details typed into the booking form remain locally in your browser until you choose a sending method. The form assembles your answers into a message for WhatsApp, Gmail, your email application or your clipboard; it does not save the form to a booking database.
WhatsApp, Gmail and your chosen email provider process the information under their own privacy terms. Road Buddy Transport receives the information after you send it.
What we receive
Information you send us to arrange a journey
To arrange transport we may process your name, contact details, address, the pickup and destination addresses, the date and time, the number of passengers, luggage details and accessibility requirements. We use this information to respond to enquiries, check availability, provide a price, arrange and administer journeys, communicate about changes and keep appropriate business records.
We ask you not to send confidential medical, safeguarding or highly sensitive personal information through a written form or first message. Where a journey needs that level of detail — for example some SEND or assisted journeys — please call 07908 674191 so it can be discussed properly and only the information genuinely needed is recorded.
The relevant Article 6 lawful basis may be taking steps at your request before a contract, performing a contract, complying with a legal obligation, or a legitimate interest in administering enquiries and journeys. The appropriate basis depends on the circumstances.
Recipients and services
Who may process information
If you send your booking request through WhatsApp, Gmail or another email provider, that message travels through the provider you chose and is handled under that provider's own terms and privacy policy. Road Buddy Transport does not control those services.
Information may also be shared where necessary with a driver, an agreed passenger assistant, a transport customer such as a family, school or organisation, professional advisers, or public authorities where the law requires it. Information is not sold for marketing.
The hosting provider may process technical information needed to serve and protect the website, such as IP address, browser information and security logs. Lovable-hosted sites may also load platform analytics at /~flock.js. This is added by the hosting platform rather than the booking form and cannot currently be disabled in this site’s code.
If you would rather not use any of them, call us and we will take the details over the phone instead.
Retention and rights
How long information is kept and your choices
Booking and contact information is kept only for as long as needed for the enquiry or journey, related administration, legal obligations, accounting, and the establishment or defence of legal claims. The period depends on the record and why it is held.
Depending on the circumstances, you may have rights to access, correct, erase or restrict your information, object to processing, and receive portable information. Road Buddy Transport is the controller for information it receives and is based in Warwick, Warwickshire CV34. You may complain to the UK Information Commissioner’s Office at ico.org.uk.
SEND and accessibility arrangements may involve disability or health information. We only ask for the details needed to arrange the journey safely, and we keep them to the people involved in that journey.
